ABOUT THE ROLE

New Life Furniture Bank of MA is a 501(c)(3) nonprofit that collects donations of gently used furniture and household goods and provides them to families emerging from homelessness, veterans, domestic violence survivors and others recovering from adversity. We collect and distribute 20,000+ pieces of furniture annually through our warehouses in Walpole and Marlborough, MA.

We're hiring a part-time Bookkeeper (~5–10 hours/week) to ensure the financial accuracy, operational efficiency, and compliance of our organization. The bookkeeper will be responsible for day-to-day accounting, payroll, bill payments, inventory records, bi-monthly Board reports, and the annual audit.

This positions reports to New Life's Executive Director. You will also collaborate with our Treasurer, a CPA who is a member of our volunteer Board of Directors.

Most work can be performed remotely from your home during hours that you determine. You will need to be available for one weekly review meeting with the Executive Director at a mutually agreeable time, consistent each week. While most work can be peformed remotely, we will ask you to visit our Walpole, Massachusetts headquarters for on-boarding and on a couple of occasions throughout the year, so the successful candidate will live in southeastern Massachusetts, Greater Boston or northern Rhode Island.

KEY RESPONSIBILITIES

General Accounting & Financial Management

  • Maintain accurate financial records in QuickBooks Online, including coding expenses by account, classification, and location
  • Match revenue deposits to transactions and send invoices to partner agencies via QuickBooks Online
  • Prepare bi-monthly financial statements and reports for leadership and the Board

Payroll Administration

  • Manage bi-weekly payroll using Gusto, including wages, benefits, and deductions
  • Coordinate onboarding/offboarding payroll tasks for new or departing employees

Accounts Payable & Bill Management

  • Process vendor invoices and schedule payments
  • Maintain vendor records and ensure proper documentation for all disbursements

Inventory & Program Support

  • Coordinate with warehouse staff to ensure accurate inventory reporting, including semi-annual physical counts

Audit & Compliance

  • Serve as primary point of contact for the year-end audit; prepare schedules, documentation, and supporting materials
  • Ensure compliance with nonprofit financial best practices; maintain audit-ready records year-round

Administrative & Cross-Team Collaboration

  • Work closely with the Executive Director and program leads to support financial decision-making and grant reporting
  • Maintain internal controls as directed by the Executive Director and Treasurer

QUALIFICATIONS

Required:

  • QuickBooks Online proficiency
  • Third-party payroll service proficiency (Gusto, ADP Run, Paychex Flex, or similar)
  • Excellent organizational skills, attention to detail, and ability to manage multiple deadlines
  • Strong communication skills; comfort working with auditors, vendors, and staff
  • Greater Boston, southeastern Massachusetts or northern Rhode Island-based

Preferred:

  • Nonprofit accounting experience and/or GAAP knowledge
  • Familiarity with Melio, Bill.com, or similar bill-pay tools
